    Schedule your announcements

    Article Summary

    Plan your regular announcements with the Announcement scheduler so you can automate part of your generic announcements. Once your schedules are configured, you can easily track all schedules for announcement playback in the Planned announcement tab. The existing schedules can then be modified or disabled from both Announcement scheduler and Planned announcement tabs.

    TUTORIAL STEPS:

    A) Announcement scheduler tab

    1. Open the Announcement scheduler tab.
    2. Click the New schedule button.

    Note: Already available schedules will be visible in the list with their statuses.  





    B) Announcement selection

    The window for announcement schedule configuration is opened:
    1. Name your schedule.
    2. Click the Select announcement button. A new window opens with the list of announcements. 
    3. Select the Announcement which shall be scheduled. Once you have selected the announcement, additional fields for configuration appear: Select the languages, Announcement preview, and Select priority.

    C) Schedule configuration

    1. This section is for selecting the languages in which the scheduled announcement will be transmitted.
    2. Select priority of you announcement.
    3.  Preview your announcement before playback.  
    4.  Frequencies at which the schedule can be played are configured in the Set repetition section. 
    5. Select zones by ticking the respective checkboxes where you want your announcement to be transmitted. 
    6. Click the Save button. 


    Note 1:A transcript of the announcement is available for the selected language. You can use the "Ear" button to pre-listen the announcement.

    D) The schedule you created is visible on the main page.
     

    Edit, Delete or Disable your schedule with the three-dots or by simple click on the item.









    E) Planned announcements
    1. Open the Planned announcements tab.
    2. Find your scheduled announcement/s. 










    F) Announcement history in the Queue tab
    Once the scheduled announcement triggers, find your announcement in the Queue tab at the top of the table or use the sorting icon of the CREATED column.







    Repetition types:

    Once
    		Scheduling only for one time announcement
    Multiple times
    		The announcement can be repeated several times within a period determined in minutes
    Each 
    		Repeating the announcement every x minutes
    Daily 
    		The announcement is played at a specific time each day
    Weekly 
    		Week days and hour can be selected when the announcement shall be played
    Daily in interval
    		Repetitive announcement (i.e. do not smoke, advertisement etc.), period, time and repetition in minutes is stated
    Weekly in interval
    		Week days are selected in addition to the previous option
    Monthly
    		Month and days and hour can be selected when the announcement shall be played
    Monthly in interval
    		In addition to the previous option also valid time is selected
    Specific Times
    		Custom date and time can be selected and multiple entries can be added

    "Valid from - to" constraints:

    In addition to the date and time restrictions specific to repetition types, there are also general date and time restrictions specified in the following two fields:

    1. "Valid from" - allows you to play the scheduled announcement no earlier than the selected date and time.
    2. "to" - allows you to play the scheduled announcement not later than the selected date and time.
